Festival Sale Assistant Temporary


  1. Solid public relation skills and experience in working with a variety of customers accompanied by a pleasant, cooperative attitude.

  7. Excellent skills with computers: word processing, spreadsheets, databases and internet.  Additionally, specific skills in Access and Publisher an asset.

Assignment Description:

The Festival Sale Assistant is part of the Sales Department and works with the Festival Sale Manager to develop and support our Festival Sale program.  The Festival Sale Assistant also works as a member of the customer service team.  The Festival Sale Assistant organizes all necessary components to support our festival sale accounts. Due to the frequent interaction with all customers, it is imperative to create an atmosphere in which the customer is top priority.   Since the job tasks are diverse, it is essential to manage multiple priorities in a fast-paced work environment.  The Festival Sale Assistant works on a variety of computer systems to process festival sale applications, sample orders, confirmations and festival sale.  The Festival Sale Assistant is in frequent communication with festival sale accounts as well as the Ten Thousand Villages Warehouse, Marketing, Accounting, Merchandising, IT and Purchasing Departments.

This position is a temporary addition to our customer service and festival sale team, expected to work full-time hours from August through January when the team experiences their busiest order and customer contact volume of the year.

All duties should be carried out to contribute to company-wide growth in sales and profits, increased productivity, and increased purchases from artisans while keeping expenses within budget.

Working Hours:

Full-time, non-exempt position.  Normal office hours are 8:00 a.m. - 4:30 p.m. (half hour for lunch).  Some overtime may be required.


Festival Sale Assistant duties will be focused primarily on festival sale accounts, but will include wholesale and retail customers when the need arises. (80%)

  • Assist in developing, selecting and evaluating festival sale modules.
  • Create sales orders (sample and gift module orders) for all festival sale customers ensuring accuracy.
  • Ability to handle phone calls using great customer service skills.
  • Process and organize festival sale paperwork – create confirmation, maintain Access database, check inventory system for accuracy, enter details into festival sale website.
  • Respond to inquiries received by fax, mail, phone and email from new festival sales accounts.
  • Work with Marketing Department and Festival Sale Manager to develop and maintain all festival sale marketing and publicity pieces.
  • Follow-up on past due accounts working with Accounts Receivable.
  • Help to coordinate staffing requirements for local sales.
  • Meet with potential festival sale customers – discuss strategy, product, display ideas, tour Akron facility
  • Work with Festival Sale Manager to develop and implement strategic plan for festival sale growth.
  • Be able to travel to festival sales as needed.
  • Work with shipping companies to process damage or loss claims.

Additional Customer Service skills needed: (20%)

  • Process merchandise sales orders for all customers ensuring accuracy.  Orders can be received electronically, web, fax or verbal.
  • Problem solve issues regarding orders, product claims, off-site sales, returns, product availability, on-line catalog, web ordering, intranet usage and product information accurately and in a timely manner.
  • Respond to inquiries received by fax, mail, phone and email from new wholesale customers, consumers and requests from artisans.
  • Work with shipping companies to process damage or loss claims.
  • Communicate feedback received from customers to internal departments – quality concerns, new product designs, claims – via comment form database, quality spreadsheet, claims database and email.
  • Work and communicate with Warehouse staff to address shipping concerns, problems or special requests.
  • Create computer reports; analyze and distribute as needed.

Location Description:

Ten Thousand Villages offices and warehouses are located in Akron and Brownstown, PA.  Both towns are located in Lancaster County.
